ARTICLE I
NAME
The name of this organization shall be The Nile C. Kinnick High School Yokohama-Yokosuka Alumni Association (hereafter designated as the KYYAA)
ARTICLE II
PURPOSE AND FUNCTION
The purpose of the KYYAA is to:
1. Promote and encourage communication and interaction between alumni of Nile C. Kinnick High School or its feeder schools who would have graduated from Nile C. Kinnick High School.
2. Provide a medium for exchange of memories, new ideas, and opportunities for gatherings among alumni.
3. Organize, promote, and participate in alumni reunions.
4. Promote positive public relations with the current administration of Nile C. Kinnick High School.
ARTICLE III
MEMBERSHIP
1. Membership shall be open to all alumni or would have been alumni of Nile C. Kinnick High School who submit annual dues.
2. All members shall be eligible to vote in KYYAA meetings.
ARTICLE IV
OFFICERS
1. The Officers of the KYYAA shall be association members and shall consist of the President, Vice President, and Secretary, Treasurer, Membership Director, Public Affairs Director and Reunion Director.
3.. The offices of President, Vice President and Treasurer shall be elected offices. The offices of Secretary, Membership Director, Public Affairs Director and Reunion Director shall be appointed by the President.
3. The term of office for the elected officers shall be three (3) years.
3.. The Officers shall be elected at a designated meeting of the KYYAA. A slate of nominees shall be presented with the notice of meeting.
ARTICLE V
ROLES AND RESPONSIBILITIES
1. President shall be the point of contact (POC) person for the KYYAA. The President shall be responsible for coordinating communication intended to reach all members and shall preside at all meetings of the association.
2. Vice-President shall have overall responsibility for membership retention and recruitment. The Vice President shall assist the President with any responsibilities designated by the President. The Vice President will preside at association meetings in the absence of the President.
3. Treasurer shall be responsible for collecting membership dues and serving as the custodian thereof. The Treasurer shall provide an annual financial report to the membership.
4. Secretary -- shall be responsible for recording all proceeding of association meeting. The Secretary shall publish minutes of association meeting and make them available to all members within thirty (30) days of an association meeting.
5. Membership Director -- shall be responsible for locating and recruiting potential members as well as retention of existing members. The Membership Director, or a designated representative, shall maintain an accurate database of all current and potential members. The Membership Director, or a designated representative shall be responsible for publishing a periodic newsletter to the membership.
6. Public Affairs Director -- shall be responsible for maintaining a close working relationship with the current administration at Nile C. Kinnick High School. The Public Affairs Director shall establish and oversee a scholarship program. The Public Affairs Director shall be responsible for maintaining a accurate history of the KYYAA and Nile C. Kinnick High School.
7. Reunion Director -- shall be responsible for overseeing the planning, organizing, advertising and scheduling all reunions sponsored by the KYYAA.
ARTICLE VI
MEETINGS
1. The KYYAA shall hold a meeting during each KYYAA sponsored reunion.
2. The President and Vice President shall be authorized to act on behalf of association members as necessary between meetings.
3. Notice of meetings shall be given at least six (6) months in advance of the meeting date.
ARTICLE VII
COMMITTEES
1 .Standing committees for the KYYAA shall be:
a. Reunion Committee
b. Membership Committee
c. Public Affairs Committee
d. Any other committee designated by the officers of the KYYAA
2. All committees shall submit a bi-annual report to the
officers and membership outlining their activities.
ARTICLE VIII
SUSPENSION AND AMMENDMENTS
1. Any part of these bylaws may be temporarily suspended at any meeting of the KYYAA by a two-thirds vote of members present.
2. These articles of the Nile C. Kinnick High School Yokohama-Yokosuka KYYAA Charter may be amended at a meeting of the membership by a simple majority vote provided that the amendment has been submitted in writing or electronically at least two months in advance of the meeting. Amendments shall require a vote of two-thirds of the members present.
